Officer of the Day Duties
(Duty days are shared out amongst the age groups and are displayed in the fixture list).
Overall Responsibility
The prime responsibility for the Officer of the Day is to ensure the smooth and safe running of the day by clear and concise organisation and preparation. The officer of the day will arbitrate any internal dispute and their decision is final.
A – Pre Match Responsibilities
The Thursday before match day of responsibility, the Officer of the Day should contact both the Mini and the Junior match secretaries to confirm matches and numbers of players expected. The fixture secretaries will communicate to the Club the expected number of players to enable them to plan for food.
If adverse weather conditions are expected on the match day (e.g. frost, snow, water-logging) the officer of the day should arrange for a pitch inspection to be made. All teams to be advised if play is cancelled to ensure journeys can be cancelled. The Club/caterers to be informed no later than 8:30am so as to cancel staff. At all times, the safety of players should be objective of any decisions made about pitch conditions. (Club – Ian McColm 07xx xxx xxx & Avocado Caterers, Sam 07979 511 478)
B – Match Day Responsibilities
Arrive early and display pitch / changing room allocations. (See “Welcome” template).
If necessary organise car park attendant.
Ensure coaches / managers are responsible for marking out their respective pitches.
Direct arriving teams to their respective changing rooms.
Place “pitch and changing room allocation” notices are placed in prominent places (template on following pages).
Obtain meal tickets and distribute the correct numbers to visiting teams and referees.
Fill Bath at half time if required.
C – Managers / Coaches Responsibilities
All coaches / managers are responsible for getting out and returning all equipment they have used e.g. flags, post protectors and other equipment to storage after completion of training or matches (This is not the responsibility of the Officer of the Day).
D – Post Match Responsibilities
Ensure that coach / managers reimburse referees for expenses and make sure that the referees have appropriate refreshments.
Make sure that the changing rooms are left presentable and any items of clothing etc. left in the changing rooms are handed to the relevant age group coach or manager.
Ensure all lights are turned off and outside doors are secured.
Final check that all equipment (post protectors, flags, pads etc) has been returned to the storage container, and that the container is locked.
Contact the M/J Chairman to advise of the number of tickets received from the caterers, given out to visitors/referees and returned to the caterers.
E - Additional Responsibilities:
The Sunday after the club fireworks party. The officer of the day to arrange a sweep across the grounds to remove debris before play or training can commence.
